📅 How Our Firm Uses It for Court Appearances

The Clio Calendar is the central scheduling system our firm uses to track all court appearances, deadlines, meetings, and attorney commitments. It provides a unified, real-time view of what is happening across every case so that attorneys, paralegals, and support staff remain coordinated and fully prepared.


What the Clio Calendar Does

Clio’s calendar integrates with each attorney’s Google/Outlook calendar and automatically syncs scheduled events. Every appearance scheduled in Clio is linked to a specific matter, which ensures that anyone reviewing the case can immediately see upcoming hearings, conferences, depositions, or deadlines.


Key features we rely on include:

  • Matter-linked events (every appearance is attached to the correct case)
  • Shared visibility across the full team
  • Automatic reminders and notifications
     


How Our Firm Uses Clio for Court Appearances


1. Entering All Court Dates Into Clio

Whenever we receive a hearing notice, scheduling order, or court communication, the appearance is immediately added to the Clio Calendar. Each event must include:

  • The type of appearance (e.g., Status Conference, Hearing, Trial, Arbitration, Deposition) 
  • Date and time
  • Method of appearance (in-person, virtual, phone, Teams/Zoom)
  • Matter name 
  • Client name
  • Internal notes if needed (e.g., “Judge requires status report 48 hours in advance”)

This ensures no deadlines or appearances can be overlooked.


Additional Notes:

- Sample Title: Discover Bank v. John Smith - Hearing via Zoom

- For "Start Time" ALWAYS enter it in ET.  If the event is taking place in another time zone, on the Title line enter both: i.e.:  Discover Bank v. John Smith - Hearing via Zoom @ 9PT/12ET

- Check box for Zoom Hearing under Video Conferencing

- Under Matter select the Case Name

- Under Reminders create any necessary reminders for the event

- Under Calendar always select FIrm

- Event Type is Optional

- If there is anything that should be noted about the event, please add it under description.

2. Preparing for the Appearance

Clio Calendar events act as the trigger for appearance preparation, including:

  • Drafting and uploading necessary documents
  • Confirming client communication
  • Reviewing prior notes and filings
  • Preparing exhibits or evidence
  • Ensuring the attorney knows whether the appearance is virtual or in-person 
  • Completing any required conference prep memos

Support staff use the calendar to track what needs to be prepared and when.


3. Using Reminders to Prevent Missed Events

Our firm uses automated Clio reminders to avoid any missed appearances:

  • 24-hour reminders 
  • 2-hour reminders 
  • Custom reminders for hearings requiring early preparation 

4. Tracking Changes or Cancellations

Court dates change frequently. When they do, the team immediately:

  1. Updates the Clio Calendar event 
  2. Adds any supporting documentation (e.g., rescheduled notice)
  3. Notifies the assigned attorney
  4. Updates any preparation tasks or deadlines

Consistency in updating Clio is essential for keeping our calendar accurate.


5. Ensuring Firmwide Visibility

Because all team members have access to the Clio Calendar, support staff and attorneys can:

  • See who is in court at any given time 
  • Avoid double-booking 
  • Manage workload distribution
  • Coordinate coverage when necessary 

This firmwide visibility helps maintain smooth operations, especially on busy court days.

Using Clio as our single source of truth for all scheduling ensures:

  • No missed deadlines or appearances 
  • Consistent, predictable preparation workflows 
  • Improved communication between attorneys and staff 
  • A complete, auditable history of court activity

How Our Firm Uses Clio Tasks

Clio Tasks serve as the backbone of our internal workflow and ensure that every step of a case is tracked, assigned, and completed on time. Tasks help maintain consistency across matters, prevent missed deadlines, and keep all team members aligned. Each task in Clio is tied to a specific matter, making it easy to see what needs to be done, who is responsible, and when it must be completed.


Our firm uses Clio Tasks to:


1. Manage Case Milestones and Deadlines

Tasks are created for key steps in the litigation and intake process—such as drafting documents, preparing filings, contacting clients, confirming court dates, and completing follow-up actions. This ensures that important deadlines are never overlooked.


2. Organize Daily Workflows

Team members rely on Clio Tasks to structure their daily responsibilities. The task list allows attorneys and staff to quickly see what is due today, this week, and in the future, helping prioritize work efficiently.


3. Assign Responsibility and Maintain Accountability

Every task is assigned to a specific team member. This makes it clear who is responsible for each step, while also allowing supervisors to track progress and provide support when needed.


4. Trigger Case Preparation Activities

Tasks are used to initiate preparation for hearings, depositions, client updates, and filing deadlines. For example, when an appearance is scheduled on the Clio Calendar, associated tasks are added to ensure all required prep is completed in advance.


5. Track Communication and Follow-Up

Follow-up reminders—including client outreach, document requests, and responses to opposing counsel—are created as tasks to ensure no communication falls through the cracks.


6. Maintain Organized Case Files

Tasks help guide the intake process, document collection, and case closing steps, ensuring each matter remains complete and organized from start to finish.
